The job

Road haulage does not live under one rule, it lives under a stack of cycles: the driver card every 28 days at most, the vehicle unit every 90 days at most, two years of retention, driver refresher training, the community licence, and since 1 July 2026 the second-generation smart tachograph on 2.5 to 3.5 tonne vans in international transport. None of these cycles fall on the same day, and that is where a twelve-vehicle fleet stops being manageable from memory. Market software reads the binary file well, but it costs money and assumes setup. A lab sits upstream: you paste your fleet and your drivers, it produces the dated schedule, the named infringement report and the interview letter.

Are 28 and 90 days a maximum or an average?

A maximum. A driver card downloaded on the 29th day is late, even if last month you did it on the 20th. That is what makes a calendar useful: it counts from the last actual download, not from the start of the month.

Are 3.5 tonne vans concerned?

In international transport, yes, since 1 July 2026: vans between 2.5 and 3.5 tonnes must carry the second-generation smart tachograph. It is the deadline that surprises people most, because it hits vehicles nobody in the company thought of as trucks.

I already have software that reads the .ddd files. Is this a duplicate?

No, because this lab does not read the binary file, it sits before it. It does not replace your analyser: it holds the schedule, the drivers, the refresher training and the documents to produce, which most analysers do not do or do as a paid add-on.

Do I have to hand the infringement report to the driver?

The point is not only regulatory, it is evidential. An overrun spotted and never raised with the driver leaves the company with nothing to show if an inspection looks at how work is organised. A named report handed over and signed changes that conversation, which is why it is an output of this lab and not a spreadsheet row.

What is at stake if this goes wrong?

Penalties reach 30 000 euros and a year of imprisonment, with the vehicle immobilised and the licence possibly suspended. In practice immobilisation costs the most: the stopped truck no longer runs, and neither does the next day's round.
